The SVR Greatest Gathering Trail is organised by the Severn Valley Railway, incorporating its charitable and operating bodies, in collaboration with supporting groups. For the purposes of data protection law, the data controller is Severn Valley Railway (Holdings) PLC.

• Which trail tokens you have scanned

3. How We Use Your Information

As part of the Severn Valley Railway’s Greatest Gathering Trail, we use your information to:

• Track your trail progress and register each token you scan
• Enter you into the main prize draw run by the Severn Valley Railway
• Send occasional updates and marketing from the Severn Valley Railway (a condition of entry)
• Share your e-mail address with supporting groups whose tokens you scan, so they can register your entry and send occasional news, event updates or fundraising information

4. Legal Basis

We rely on:

• Contract – to manage your entry and contact prize winners
• Legitimate interest – to send relevant updates from supporting groups you engage with
• Consent – to send Severn Valley Railway marketing updates (agreed as part of entry)

5. Who We May Share Your Data With

Some trail tokens are operated by supporting groups such as locomotive owning societies or affiliated associations. When you scan one of their tokens, your e‑mail address may be shared with that group so they can:

• Register your participation and validate the token
• Send you occasional news, fundraising, or event information

This sharing is a condition of collecting that specific token. If you choose not to proceed, the token will not be added to your trail.

Tokens issued by the Severn Valley Railway do not trigger additional notifications and are covered by your primary consent when you sign up.

6. Data Retention

We retain your data for up to 12 months after the event. Groups you consent to share your email with may retain it according to their own privacy policies.

Your data is transmitted securely and stored with appropriate technical safeguards.
